12 Resume Mistakes That Get You Rejected by ATS Instantly
Most ATS rejections aren't about your qualifications. They're about formatting and keyword mistakes that send your resume to the bottom of the pile before a human ever sees it. Here are the twelve most common - with the fix for each.
1. Wrong File Format
Saving as .pages, .rtf, .odt, or an image-based PDF (exported from Canva or Photoshop) leaves the ATS with nothing to parse. Fix: save as .docx or as a text-based PDF where the text is selectable when you click and drag.
2. Using Tables for Layout
Tables read out of order in many parsers - your job title can end up glued to a previous bullet. Fix: use a single-column layout with text-only formatting.
3. Missing Keywords From the Job Description
If the posting says 'experience with Salesforce' and your resume says 'CRM tools', you won't match. Fix: mirror the exact phrases from the posting in your summary, skills, and bullets.
4. Non-Standard Section Headings
Creative labels like 'My Journey', 'Toolkit', or 'Where I've Been' confuse the parser. Fix: use 'Work Experience', 'Education', 'Skills', and 'Certifications'.
5. Contact Info in the Header
Many parsers strip headers and footers entirely. Fix: put your name, phone, email, and city/state at the top of the document body.
6. Using Headers and Footers Generally
Same problem - anything in a Word header or footer can disappear. Fix: keep all content in the main body.
7. Images, Logos, and Photos
ATS systems don't read images. A profile photo, company logos, or any decorative graphic is invisible - and the surrounding layout may break. Fix: text only.
8. Fancy or Display Fonts
Decorative fonts can render as garbage characters during parsing. Fix: use Arial, Calibri, Helvetica, Georgia, Cambria, or Times New Roman.
9. Acronyms Without Spelled-Out Versions
Recruiters search both 'SEO' and 'Search Engine Optimization'. If you only use one, you miss half the searches. Fix: write the full term followed by the acronym in parentheses the first time it appears.
10. Inconsistent Date Formats
Mixing 'Jan 2022 - Present' with '2/2023 - 5/2024' confuses parsers and may cause some jobs to drop. Fix: pick one format ('Month YYYY - Month YYYY') and use it everywhere.
11. Bullets Without Quantified Achievements
'Responsible for managing the team' is invisible to an ATS scoring algorithm and forgettable to a recruiter. Fix: 'Managed a team of 8 engineers, shipping 14 features per quarter and improving on-call response time by 38%.' Numbers + verbs + nouns.
12. Generic Objective Statements
'Seeking a challenging role where I can grow professionally' adds zero keywords and signals an outdated approach. Fix: replace with a professional summary that names the role, years of experience, and key skills (see the resume summary examples post).

Even fixing 3 - 4 issues typically lifts an ATS match score by 15 - 25 points - often the difference between getting a reply and getting silence.
